Description
RENTAL AGREEMENT – contact with Township of Wellington North to negotiate renewal of meeting space, usually in October. They have been giving us discounted rent as we do the spring cleanup and mulching of the beds at the sports complex.
Then a couple weeks prior to meeting, we also have to send Nick Brock at the Township with how we want the room set up each meeting. It is different for potlucks and for flower shows. A room set up template has been prepared already
EXECUTIVE MEETINGS - Arrange to have 3 to 4 executive meetings via zoom each year to discuss budgets and other issues that arise. These meetings take 30 to 40 minutes.
SPEAKERS – six speakers to be arranged by mid November in order to have included in yearbook.
ADVERTISERS - emails sent in October to each of the advertisers thanking them for their support and confirm if they are willing to continue. A template is already created as well as an Advertiser contact list. Once confirmation is received, invoices and yearbook/membership card with letter to be sent out to the advertisers.
MEETINGS – follow up with speakers two weeks prior to meetings and ensure they have what they need for their presentations. Do an Agenda outlining meeting talking points and send to the executive prior to meeting for their input.
OTHER – Attend District AGM’s, but not mandatory.
